Inside Your CRM

The lead engine that turns clicks into booked details — automatically

Every lead captured the second it lands. Every follow-up handled. Every review asked for. This is the exact lead-management system we build into your CRM — the same one running in our own shop, My Awesome Detailer. Here's how it works, in plain English.

What it does for your shop

It's a tireless front-desk employee — built into your software

Picture an employee who works 24/7, answers every lead in seconds, never forgets to follow up, never loses a phone number, and never lets a customer slip through the cracks. That's what this system is. The "workflows" inside your CRM are simply that employee's job instructions — written once, followed perfectly every time.

Most shops lose money in the gap between "a lead comes in" and "someone actually follows up." Leads go cold in minutes, and busy weeks mean good customers get forgotten. This system closes that gap for you, on autopilot.

Never miss a lead

Every inquiry is answered instantly and your team is pinged — even at 11pm or mid-detail.

🔁

Always follow up

Polite, professional follow-up for days — so you stop losing people who were just busy.

🤝

Clean handoffs

The moment a customer replies, a real person takes over. No robotic double-texting.

Grow your name

After every job it asks for a review automatically, building your reputation while you work.

The one promise of the whole system

No lead is ever missed, every customer gets consistent follow-up, and the hand-off from automation to a real person is always clean. Everything below is just the detail of how that promise is kept.

The big picture

The whole journey, on one map

Every customer travels the same path. They enter on the left and the system gently walks them toward a booked job and a 5-star review. The colored boxes are the stages it moves people through — automatically.

How to read the rest of this page

Each section below zooms into one part of this map and shows three things: what the system does, what your customer experiences, and why it makes you money.

Stage 1 of the journey

A new lead arrives — the instant "we got you" moment

A potential customer fills out a form from a Google ad, a Facebook ad, or your website. (There are three nearly-identical workflows here, one per source, so the system can track where every lead came from.) The instant that form is submitted, the front-desk robot springs into action:

FormsubmittedSaves name, phone,email & vehicle detailsLabels the lead(source + service)Texts your team:New lead!Texts & emails customer:Thanks, we got your infoHands off to theinstant call-back
What your customer feels

"Wow, that was fast." Within seconds of hitting submit they get a warm text and email by name, mentioning their exact vehicle and service. They feel seen — not like they shouted into a void.

Why it makes you money

Speed wins deals. A lead answered in the first minutes is far likelier to book than one called back tomorrow. It also captures their info forever — even if they never reply, they're now in your database to nurture.

Stage 2 of the journey

The instant call-back — strike while they're hot

Right after that welcome text, the system tries to connect the lead with a real person by phone. It's smart about timing — it checks whether your shop is open before deciding to call now or queue it for the morning:

Yes, openAfter hoursYesNoNew lead readyfor a callAre you openright now?System places anautomatic callQueued as a call taskfor the morningDid theyanswer?Conversation started —your team takes overSends a sorry-I-missed-youtext & email, then startsthe follow-up ladder
Your business hours live in the CRM. After-hours leads aren't lost — they're queued as a call task for first thing in the morning.
What your customer feels

They get a call almost immediately, while their interest is at its peak. If they can't pick up, they get a friendly "no worries, reach me anytime" — never silence.

Why it makes you money

This is the single biggest revenue lever: being the first shop to actually talk to the lead. The system guarantees the attempt happens every time, even when your team is heads-down on a car.

Stage 3 of the journey

The follow-up ladder — polite persistence that wins the "busy" people

Most leads don't answer the first try — not because they aren't interested, but because life is busy. Instead of giving up (where most shops lose the money), the system climbs a follow-up ladder: it stays in touch, getting gentler over time, until they either reply or land softly on your long-term list.

They replyStill no replyThey replyStill no replyMissed thefirst callSETTER FOLLOW-UP4 days of texts & emails+ a courtesy voicemail+ a personal-touch taskYour teamtakes overGHOST SEQUENCEA gentler round —one text & email a dayfor 4 daysThe foreverfriendly list

The two rungs, explained

Setter Follow-Up (the energetic round). Over four days it sends warm, no-pressure texts and emails at a few points each day, plus a courtesy voicemail on day one. On day two it nudges your team with a "personal touch" task — like texting a before/after of a similar car. Every message gets softer, always ending with "no rush, we're here when you're ready."

Ghost Sequence (the gentle round). If they've gone totally quiet, the intensity drops to one friendly text and email per day for four days — the "we didn't forget you, no pressure" round. If they still don't reply, they move to your forever list.

What your customer feels

Helped, not hounded. Every message is friendly and low-pressure. It feels like a local shop that genuinely cares — because it sounds like you.

Why it makes you money

This is where the leftover revenue hides. The shop that follows up 7–8 times politely books the customers everyone else gave up on after one call.

The safety net for "not right now"

The "forever" friendly list — nobody gets thrown away

Some people just aren't ready this month, and that's fine. Instead of deleting them, everyone eventually lands in Email 365 — a permanent, low-key email list that sends helpful, friendly content (tips, before-and-afters, seasonal reminders) on an ongoing basis. Think of it as your "stay friends until they're ready" list.

The key idea

Email 365 is permanent — once someone's on it, they're never removed. People who went cold often resurface months later when the timing is finally right. When they do, a real person jumps back in — but they stay on the friendly list regardless.

What your customer feels

They quietly keep seeing your great work in their inbox. No sales pressure — just a local shop staying top-of-mind. When they're ready, you're the obvious choice.

Why it makes you money

You spent ad money to earn every lead. This makes sure none of that spend is wasted — a "no" today becomes a booked job next season instead of a lost contact.

Stages 4–6 of the journey

Quote → booking → service — the system keeps the deal moving

After a real conversation, your team sends a quote and books the job. Three workflows quietly handle the busywork around these moments so deals don't stall and appointments don't get forgotten.

After you send a quote — Estimate Follow-Up

The moment a quote is marked "sent," the customer gets one automatic "just making sure you got it — happy to answer questions" message. Then, over two weeks, the system reminds your team to personally check in on days 2, 5, 8, and 12 — sharing a before/after, a testimonial, and a gentle "your quote expires soon" nudge. Quotes are treated as good for 14 days.

Once they book — Booking Confirmation & Prep

AppointmentbookedInstant confirmation+ how to prepReminder48 hours beforeSee-you-today textthe morning of

Confirmation, a 48-hour reminder, and a morning-of text — with simple prep instructions (clear out the car, arrive on time). If they reschedule, the reminders automatically reset to the new date.

If they don't show — No-Show Handling

Rare, but covered. If an appointment is missed, the customer gets a warm "we missed you — life happens, let's reschedule" message (never guilt-tripping), a follow-up two days later, and then a task for your team to personally reach out. The goal is always to rebook.

What your customer feels

Organized and cared-for. They know exactly when and where to show up, how to prep, and never feel forgotten between quote and appointment.

Why it makes you money

Fewer no-shows, fewer stalled quotes, fewer "wait, when was my appointment?" calls. Each reminder protects revenue you've already earned but haven't collected yet.

Stage 7 — the finish line

Asking for the review — turn one happy customer into five new ones

The job's done and the car looks incredible. That glow is the perfect moment to ask for a review — so the system does it for you, politely and at the right times.

YesNot yetYesNot yetJob markedcomplete1-2 hours later:thank you + review link(text & email)Reviewleft?Done — thank them,stop asking3 days later:a gentle nudgeReviewleft?One final friendlyask, then stop
What your customer feels

Appreciated. A heartfelt thank-you and an easy 30-second link — asked at most a few times, then it stops. Never spammy.

Why it makes you money

Reviews are how the next customer finds and trusts you. This builds your reputation on autopilot, turning every finished job into marketing for the next one.

The guardrails

The smart safety nets

Two invisible workflows run in the background. You'll never see them fire, but they're what makes the whole thing feel professional instead of robotic.

🤚 The "stop the robots" rule

This is the most important guardrail. The instant a customer replies — by text, email, or phone — or moves forward (gets a quote, books in), the system immediately pulls them out of all automated follow-up and hands them to a real person.

What this prevents

The nightmare where a customer texts "Yes! I'd love to book," and a robot keeps sending "sorry we missed you" messages anyway. That never happens here. Reply once, and the automation politely steps back.

🔎 The "nothing falls through the cracks" check

Every morning, the system scans for any deal that's been sitting too long at a stage — a quote with no answer for 5 days, an accepted quote that never got booked, and so on — and creates a task for your team. It's the automated version of reviewing your whiteboard each morning and asking, "wait, whatever happened with…?"

Why these matter

Together they keep the system feeling human. One makes sure you never over-message someone who already engaged; the other makes sure you never under-message someone who's drifting. That balance is what separates a system customers love from one they unsubscribe from.

Behind the scenes

How the system stays this organized

Three simple tools do the "filing" that makes everything above possible. You'll see these words inside your CRM, so here's what each one really is:

📋 Pipelines = your job whiteboard

A pipeline is a row of columns showing where every customer is in the process. As people progress, the system slides their card from one column to the next, so you can glance and see your whole business at once:

NewLeadContactAttemptedContactMadeEstimateSentEstimateAcceptedBookingConfirmedJobCompleted
Your main Sales pipeline — a customer's whole journey, left to right. (Plus a simple Email 365 board for the forever-list and a Review board for tracking review asks.)

🏷️ Tags = sticky labels on a contact

Tags are little labels the system sticks on each person to remember things at a glance: where they came from (Google Ad Lead), what they want (Interested – Ceramic Coating), and where they are in a sequence (Setter Follow-Up Active). They're how the automations know who to message and who to leave alone.

🚗 Custom fields = the customer's profile card

These are the saved details about each customer and their vehicle — year, make, model, the service they asked about, where they came from. This is what lets every message feel personal ("your 2022 Tacoma") instead of generic — completely automatically.

You don't manage any of this by hand

The workflows move the cards, stick the labels, and fill in the details for you. This section just makes sure the words aren't a mystery when you click around inside your CRM.
